Role summary

The Account Executive will be a core early hire responsible for client relationship management, account operations, planning, and delivery coordination across the agency. In the initial phase, the role will also support business development, proposal creation, and pitch coordination to help build the pipeline and secure projects. As the team scales and functions are staffed, the role will fully transition into a dedicated Account Executive position focused on account growth, client satisfaction, and consistent delivery.

Reporting line

Reports to: Agency Lead
Works closely with: Strategy, Creative, Production, Performance/Digital, Project Management, Finance/Operations, and external partners/vendors

Scope of work

1) Account management & client relationship ownership (primary)

  • Serve as the day-to-day client lead for assigned accounts.
  • Build trusted relationships with client stakeholders, ensuring responsiveness and professionalism.
  • Lead client communication cadence (weekly status calls, updates, action logs, approvals).
  • Anticipate risks, resolve issues early, and manage escalations properly.
  • Drive client satisfaction, retention, and recurring scope.

2) Planning, execution coordination & delivery oversight (primary)

  • Translate briefs into clear work plans with deliverables, timelines, roles, and dependencies.
  • Coordinate internal teams to ensure on-time, on-brand, and on-brief execution.
  • Ensure all deliverables pass through quality assurance and meet the agency’s standards before sharing.
  • Maintain delivery documentation: timelines, decision logs, feedback cycles, and approvals.
  • Coordinate vendors/freelancers when needed (quotes, timelines, deliverables, invoicing coordination).

3) Proposal creation & business development support (early stage)

  • Support early-stage growth by coordinating:
  • Client discovery notes and requirements gathering
  • Capability decks, pitch materials, and case studies
  • Proposal writing (scope, approach, timelines, assumptions)
  • Pricing inputs and packaging (in coordination with leadership/finance)
  • Track opportunities and next steps (pipeline hygiene, follow-ups, meeting notes).
  • Help prepare for pitches: agendas, attendee prep, Q&A, and post-meeting actions.

4) Account growth & commercial support (ongoing)

  • Identify upsell/cross-sell opportunities based on performance, client needs, and new initiatives.
  • Support renewals and scope expansions with clear justifications and expected outcomes.
  • Ensure account profitability by monitoring scope creep and keeping work within agreed scope.

5) Process, tools & documentation (always-on)

  • Maintain account workspaces and documentation in the agency’s tools (Monday.com, Smartsheets, etc.).
  • Contribute to improving internal workflows and onboarding new team members into accounts.

Key responsibilities (day-to-day)

  • Lead client communication and manage expectations.
  • Own weekly planning and delivery tracking across active projects.
  • Coordinate briefs, feedback, approvals, and final delivery.
  • Support proposal creation and pitching (especially during the ramp-up phase).
  • Maintain account documentation, reporting, and performance updates.
  • Collaborate with internal teams to ensure quality and consistency.

Key deliverables

  • Client status updates and weekly action trackers
  • Account plans (monthly/quarterly, per client)
  • Project timelines and delivery schedules
  • Proposals (statement of work, approach, timeline, assumptions, pricing coordination)
  • Client reporting dashboards and slide updates (as required)
  • Meeting notes, decision logs, and approvals tracker

Success metrics (KPIs)

  • Client satisfaction and retention
  • On-time delivery rate and approval efficiency
  • Account health (clear scope control, minimal escalations)
  • Proposal output and conversion support (early phase)
  • Revenue expansion and upsell contribution
  • Internal team efficiency and clarity (brief quality, fewer reworks)

Required skills & experience

  • 3 to 7 years in account management or client servicing (agency background strongly preferred).
  • Strong understanding of campaign/project delivery across creative, content, digital, and production workflows.
  • Excellent writing skills (proposals, emails, client-ready documentation).
  • Confident communicator with strong stakeholder management.
  • Highly organized, detail-oriented, and comfortable in fast-paced environments.
  • Experience using project management tools (ClickUp, Asana, Monday, Jira) and CRM systems is a plus.
  • Ability to manage multiple accounts/projects simultaneously without quality loss.

Role evolution (important note)

  • Phase 1 (Launch & ramp-up): approximately 20% account coordination and delivery, 80% business development support and proposals
  • Phase 2 (Team in place): approximately 60% account management and delivery, 40% growth support
  • Phase 3 (Scaled): fully dedicated Account Executive role with account portfolio ownership and growth targets
