Job Title: Accounting Assistant to the Director of Finance
Department: Business Office Staff
Position: Exempt/Full-Time
Saint Patrick Catholic School is currently seeking a Full-Time (12-month) Accounting Assistant.
Overview
Founded in 2005, Saint Patrick Catholic School (Norfolk, Virginia) is an independent Catholic school with an enrollment of approximately 400 students in grades pre-kindergarten through eight. Accounting Responsibilities and Requirements
The Accounting Assistant will support the Director of Finance with financial operations, including general ledger maintenance, monthly close, and audit support.
Key Accounting Responsibilities
- Support month-end close, including journal entries, reconciliations, and general ledger maintenance
- Reconciling A/P, A/R, cash disbursements and vendor payment support
- Cash receipts, deposits, and tuition payment support
- Payroll and benefits accounting support
- Fixed asset and prepaid expense schedule support
- Restricted funds, donation, pledge, and development activity support
- Annual audits and year-end documentation support
- Maintain organized accounting records and supporting documentation
Accounting Experience and Qualifications
- Experienced bookkeeper, accounting assistant, or staff accountant background
- Strong working knowledge of basic accounting procedures, journal entries, reconciliations, and general ledger activity
- Experience preparing financial reports and supporting schedules for review by a finance leader
- Experience with accounts payable, accounts receivable, deposits, payroll accounting support, and month-end close
- Strong Excel and Google Sheet skills and comfort working with accounting reports, reconciliations, and schedules
- Nonprofit, school, church, or mission-based accounting experience preferred
- Ability to follow established procedures and maintain accurate, well-organized documentation
- Strong attention to detail, confidentiality, and recurring deadline management
- Professional communication skills when working with staff, families, vendors, auditors, and external advisors
Role Scope
This position is intended to assist and report to the Director of Finance. The Accounting Assistant may prepare financial statements, reconciliations, journal entries, and supporting schedules. The Director of Finance will retain final review, approval, and sign-off responsibility for the financial statements, budgets, audit reporting, and higher-level accounting judgments.
