Administration Specialist Associate

Overview

You will be responsible for providing administrative support across the branch, assisting the office manager and the accounting department in the day-to-day execution of administrative, operational and accounting-related activities, while contributing to the efficient functioning of the branch. You will contribute to the efficient day-to-day operation of the branch by supporting administrative processes, maintaining accurate records and documentation, coordinating procurement and payment activities, and working closely with colleagues and external service providers. The role provides broad exposure to the branch's administrative, operational and accounting activities, offering an excellent opportunity to develop within an international banking environment.

What you'll be doing

Key responsibilities will be:

  • Support the office manager in the day-to-day administration of the branch.
  • Prepare purchase orders, payment documentation and administrative records in accordance with internal procedures.
  • Support the accounting department with accounting documentation and the preparation, recording and system input of accounting and administrative entries within the scope of assigned responsibilities.
  • Maintain accurate administrative, accounting, procurement and filing records.
  • Coordinate with vendors, suppliers, service providers and external authorities on administrative matters.
  • Support the administration of vendor contracts, office services and procurement activities.
  • Maintain petty cash records and administrative expense documentation.
  • Prepare reports, presentations and other administrative documentation as required.
  • Maintain office supplies, operational trackers and other branch administrative records.
  • Support internal and external audit requests by retrieving and organizing documentation.

Who we are looking for

  • 3-5 years of experience in the role
  • Bachelor's degree or equivalent qualification
  • Microsoft Office proficiency, including Excel, Word and PowerPoint
  • Basic knowledge of administrative and accounting processes
  • Basic knowledge of procurement and document management practices
  • Strong knowledge in the bank's products and services
