Assistant Operations Manager

About the role

  • We’re seeking a full-time Assistant Operations Manager to lead daily operations at our Ottawa site and help it grow. Reporting to the Operations Manager, you’ll support and develop the site team, manage scheduling, build strong investigator relationships, and drive screening, enrollment, and study activity. You’ll balance people leadership and operational performance while maintaining high standards for quality, compliance, participant care, and safety. This is a fully on-site, 40-hour-per-week position with an annual salary range of $75,000-$85,000.

What you'll do

  • Serve as the primary on-site leader and take ownership of daily Ottawa site operations and growth.
  • Manage staff schedules, workloads, priorities, and operational readiness.
  • Coach and motivate team members through check-ins, feedback, onboarding, and training.
  • Build strong investigator relationships and maintain clear communication about site needs and study progress.
  • Drive recruitment strategies to increase screening, enrollment, and study activity.
  • Monitor visit completion, data entry, and essential documentation for accuracy and timeliness.
  • Ensure compliance with GCP, SOPs, study protocols, and applicable regulatory requirements.
  • Prepare the site for study visit days, monitoring visits, audits, and inspections.
  • Improve processes that strengthen site capacity, productivity, and performance.
  • When trained and delegated, support procedures such as vitals, ECGs, phlebotomy, and sample processing/shipping.

You Might Be a Great Fit If You:

  • Hold a college diploma or university degree in a relevant field and bring a medical, healthcare, or life-sciences background
  • Have previous people-management or team-leadership experience.
  • Have managed schedules, workloads, training, and employee feedback.
  • Are a positive, resourceful self-starter with a growth and performance mindset.
  • Communicate clearly, are professionally fluent in English, and can work on-site in Ottawa for 40 hours per week.
  • Ideally have clinical research, GCP/SOP, and/or documented phlebotomy experience; these are preferred assets, not requirements.
