About the Role

The Associate Program Manager is responsible for coordinating and tracking critical pre-shipment deliverables throughout the manufacturing and production lifecycle to ensure products are completed, documented, and released on schedule. This role serves as a central point of coordination between Manufacturing, Supply Chain, Quality, Engineering, Logistics, and external suppliers to drive on-time delivery and mitigate risks that could impact customer commitments.

The ideal candidate is highly organized, detail-oriented, and skilled at managing multiple priorities in a fast-paced production environment.

What You'll Do

Project Coordination & Tracking

  • Monitor and track all pre-shipment deliverables to ensure readiness for customer delivery and production milestones.
  • Maintain project schedules, action logs, and status reports for manufacturing programs.
  • Coordinate cross-functional activities to ensure tasks are completed on time and in accordance with project requirements.
  • Facilitate regular project review meetings and provide updates on deliverable status, risks, and escalations.
  • Identify schedule risks and proactively work with stakeholders to develop mitigation plans.

Manufacturing & Production Support

  • Track progress of manufacturing builds, production orders, inspections, testing, and release activities.
  • Ensure production schedules align with shipment commitments and customer delivery dates.
  • Coordinate with production teams to verify completion of required manufacturing milestones.
  • Monitor work-in-progress and provide visibility into potential bottlenecks affecting shipment schedules.

Pre-Shipment Readiness

  • Manage and track required pre-shipment documentation, including:
    • Quality inspection reports
    • Test reports and certifications
    • Material compliance documents
    • Packing lists
    • Customer acceptance documentation
    • Export and shipping documentation
  • Verify all deliverables are complete, accurate, and approved prior to shipment release.
  • Collaborate with Quality, Engineering, and Supply Chain teams to resolve outstanding pre-shipment issues.

Stakeholder Communication

  • Serve as a liaison between internal teams and external suppliers regarding project deliverables and shipment readiness.
  • Communicate project status, risks, and key milestones to management and stakeholders.
  • Escalate critical issues impacting production schedules or customer commitments.

Process Improvement

  • Support continuous improvement initiatives related to project execution, manufacturing readiness, and shipment processes.
  • Develop and maintain project tracking tools, dashboards, and reporting mechanisms.
  • Assist in standardizing project management practices and documentation processes.

Additional Expectations

  • Remain compliant with the Code of Conduct and Policies which includes the Kingspan Group Compliance Policy.
  • Ensure that all duties related to product compliance are adhered to in accordance with the Product Compliance Policy, Laws, Regulations, and market demands.
  • Responsible for all tasks to achieve compliance goals and demands of the Compliance Management System.
  • Must raise concerns related to the Compliance Management System with their supervisor, manager, or any member of the Leadership Team, or through the confidential whistle blower service.

What You'll Bring

Required

  • Bachelor's degree in Business, Supply Chain Management, Engineering, Operations Management, or a related field, or equivalent experience.
  • 1-3 years of experience in project coordination, manufacturing operations, production planning, supply chain, or a related environment.
  • Strong organizational and multitasking skills.
  • Proficiency with Microsoft Office Suite, particularly Excel, Outlook, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Strong attention to detail and problem-solving capabilities.

Preferred

  • Experience working in a manufacturing, production, industrial, aerospace, electronics, or hardware environment.
  • Familiarity with ERP systems such as SAP, Oracle, or NetSuite.
  • Knowledge of project management methodologies and tools (Microsoft Project, Smartsheet, Jira, Asana, etc.).
  • CAPM certification or interest in pursuing project management certification.
