Job Summary:

The Specialist, Client Support is a generalist support role responsible for helping coordinate customer, vendor, and internal activities throughout the IT asset disposition lifecycle. This person supports the day-to-day execution of ITAD projects by managing communications, coordinating logistics, maintaining accurate records, tracking asset movement, supporting reporting, and assisting with billing and reconciliation tasks.

This role serves as a key point of contact for customers, vendors, processors, and internal teams to help ensure assets are picked up, processed, reported, invoiced, and followed through accurately and on time. The position requires strong organization, communication, attention to detail, working knowledge of ITAD operations, and familiarity with the Veridy platform to support accurate project tracking, reporting, reconciliation, and client service delivery.

Essential Duties and Responsibilities:
  • Manage shared support inboxes and ensure customer, vendor, and internal communications are logged and tracked in CRM systems such as Salesforce, Cirrus, or Veridy.
  • Respond to customer, vendor, and partner inquiries by phone and email in a timely and professional manner.
  • Prepare and distribute customer quotes, vendor requests, and project-related documentation.
  • Coordinate ITAD logistics, including scheduling asset pickups, tracking shipment or pickup status, and monitoring asset movement through project completion.
  • Maintain accurate CRM data, client records, project details, and asset disposition information.
  • Review manifests, vendor reports, and processor reports for accuracy.
  • Reconcile discrepancies between expected and actual asset counts, services, charges, or reporting data.
  • Generate Expected vs. Actual reports and other operational updates as needed.
  • Support billing and administrative processes, including invoicing, payment tracking, vendor bill processing, reconciliations, and collections follow-up.
  • Monitor dashboards, task queues, workflows, and follow-up items to ensure daily activities are completed on time.
  • Assist internal teams with reporting, documentation, and general administrative support related to ITAD service delivery.
  • Supports continuous improvement by following established processes, identifying inefficiencies or issues, and contributing to solutions that improve safety, quality, and productivity. Leverages available tools and technologies, including AI-enabled solutions, where appropriate to improve efficiency and streamline work.

Skills and Abilities Required

  • Strong written and verbal communication skills for interacting with clients, vendors, and internal stakeholders.
  • Ability to manage multiple tasks, prioritize workload, and meet deadlines in a fast-paced environment.
  • Attention to detail with a focus on data accuracy, auditing, and reconciliation.
  • Proficiency in managing and navigating CRM systems (e.g., Salesforce) and shared inbox platforms.
  • Organizational skills to track and manage multiple projects, manifests, and workflows simultaneously.
  • Problem-solving skills to address discrepancies in reports, manifests, and client/vendor information.
  • Ability to coordinate logistics and scheduling across multiple stakeholders.
  • Competency in basic financial processes, including invoicing, reconciliation, and payment tracking.
  • Ability to follow up consistently on outstanding tasks, leads, and communications.

Education and Experience Required

  • High school diploma required.
  • 0-2 years of relevant Client Support experience required
