Essential Duties & Responsibilities
- Under technical supervision, coordinate and administer routine contract (subcontract) work using standardized and prescribed methods.
- May be responsible for assisting in the preparation and submission of submittals on materials and equipment.
- May be responsible for assisting in preparation of bid packages and issuance of subcontracts, as needed.
- May be responsible for managing/adding new projects and/or services in Vista database.
- Manage/coordinate project documents such as change orders, project updates, certificates of insurance, subcontracts, etc.
- Create and maintain job files: contracts, job-related correspondence, certificates of insurance, bond requests, documents, spreadsheets, and databases as necessary.
- May be responsible for compiling and administering owner-controlled insurance program (OCIP) and contractor-controlled insurance program (CCIP).
- Assist Project Managers by updating owner-controlled insurance program (OCIP) and contractor-controlled insurance program (CCIP) requirements for subcontractors.
- May be responsible for preparing and processing monthly project billing to include submitting to customers, pulling aging report, and following up outstanding payments.
- May be responsible for assisting service department by preparing and submitting service contracts.
- May be responsible for supporting warehouse team with administration of tool tracking program.
- Manage/update contractors and business licenses.
- May be responsible for managing/tracking employee certifications and clearances such as OSHA, lead, asbestos, NDOC, etc.
- Obtain Contract Risk Insurance Specialist certification and maintain required CEs.
- May be responsible for training Contract Admin staff on how to read and interpret endorsements.
- Communicate endorsement accommodation requests to executive team.
- Ensure subcontractors are in compliance with invoice and insurance requirements.
- Promote the company safety culture and safety awareness throughout the company, projects, or office.
- Exercise initiative or, as directed, perform additional duties to meet the needs of the organization.

Education
- High School Diploma or General Education Degree (GED), or equivalent experience
Experience
- 2+ years or more of related work experience preferred

- Occasional activity: standing, walking, bending, reaching above shoulder
