Environmental Health & Safety (EHS) Coordinator

ABOUT THE ROLE:

We are seeking a proactive, detail-oriented, and hands-on Environmental Health & Safety (EHS) Coordinator to support and maintain the day-to-day administration and execution of company-wide health, safety, and compliance programs within a fast-paced operational environment.

This is a 100% onsite position that will primarily support its designated home location while providing support to other locations within the region as business needs arise.

A significant portion of the role will focus on the hands-on coordination and administration of high-volume drug testing and fingerprinting, safety incident response and investigations, and workers’ compensation claims.

The ideal candidate is highly organized, comfortable balancing routine compliance activities with time-sensitive safety matters, and experienced in safety coordination within fleet, transportation, logistics, or similarly fast-paced operational environments.

WHAT YOU’LL DO:

  • Drug-Testing Specimen Collection

    • Serve as an onsite drug-testing collector, conducting high-volume specimen collections in accordance with established procedures and chain-of-custody requirements.

    • Track testing completion, follow up on outstanding or incomplete tests, and escalate issues as needed.

    • Partner with vendors and laboratories to support testing and resolve scheduling, collection, or documentation issues.

    • Monitor testing supplies and maintain appropriate inventory levels to support ongoing collection needs.

    • Maintain accurate, complete, organized and confidential testing records and supporting documentation.

  • Fingerprinting & Background Check Compliance

    • Coordinate TrustLine, Live Scan, fingerprinting, and related compliance requirements, including scheduling, documentation, status tracking, follow-up, and completion.

    • Partner with third-party fingerprinting vendors to ensure timely processing and accurate documentation.

    • Support the transition of applicable fingerprinting services in-house, including process implementation and ongoing administration.

    • Maintain accurate, complete, organized, and confidential compliance records and supporting documentation.

  • Workers’ Compensation Administration

    • Lead the administration and tracking of workers’ compensation claims from initial incident reporting through claim resolution and closure.

    • Manage ongoing communication and follow-up with employees, medical providers, claims adjusters, and insurance carriers to obtain required documentation, track claim status, address outstanding items, and support timely claim progression and resolution.

    • Drive the interactive process, modified duty, and return-to-work efforts, including reviewing medical documentation and work restrictions, engaging with employees and managers to evaluate appropriate work options, documenting modified duty arrangements, tracking restrictions and updates, and facilitating a safe and timely return to work.

    • Maintain accurate and confidential claim records, monitor open cases, and ensure required follow-ups and deadlines are completed.

    • Assist with tracking workplace injury trends and identifying opportunities for corrective actions and injury prevention.

  • Safety Investigations & Inspections

    • Lead safety incident investigations, including documentation and corrective action follow-up.

    • Conduct routine safety audits and site inspections to identify workplace hazards and compliance gaps.

    • Recommend, track, and follow up on corrective and preventive actions to ensure identified issues are addressed.

  • OSHA & Cal/OSHA Compliance

    • Support compliance with OSHA, Cal/OSHA, and applicable workplace health and safety requirements, including company safety programs, policies, and procedures.

    • Maintain required safety records, logs, and compliance documentation, and support regulatory reporting and recordkeeping requirements.

    • Coordinate and track required safety training, certifications, and compliance activities, ensuring documentation is current and follow-up items are completed.

  • Account & Vendor Management

    • Manage day-to-day relationships with drug testing, fingerprinting, workers’ compensation and EHS vendors, serving as a primary point of contact for routine operational needs.

    • Coordinate vendor services, scheduling, account setup, and issue resolution to support timely and consistent service delivery across locations.

    • Maintain vendor documentation, account information, service agreements, and compliance records, and escalate service or performance concerns as appropriate.

WHAT YOU’LL BRING TO THE TABLE:

  • 2+ years of experience in EHS, safety, workers’ compensation, HR compliance, or a related field.

  • Experience managing workers’ compensation claims.

  • Strong execution and case management skills.

  • Working knowledge of OSHA and Cal/OSHA requirements.

  • Ability to work 100% onsite.

  • Experience in fleet, transportation or logistics.

  • Experience conducting onsite drug-testing programs.

  • Experience conducting onsite fingerprinting programs.

  • OSHA certification or safety-related certification preferred.

PHYSICAL REQUIREMENTS:

  • Ability to regularly walk and navigate garage, depot, parking, and vehicle staging areas to conduct inspections and safety activities.

  • Ability to stand and walk for extended periods while performing onsite duties.

  • Ability to occasionally lift, carry, push, or move items weighing up to 25 pounds.

  • Ability to occasionally bend, reach, crouch, or stoop when performing inspections or other job-related activities.

  • Ability to perform duties in indoor and outdoor operational environments, which may include exposure to varying weather conditions.

  • Ability to operate a computer and other equipment necessary to perform the essential functions of the position.
