About the Role
You'll be the operational backbone behind Fuse's leadership and facility — partnering closely with the C-Suite on calendars, travel, and high-stakes meeting prep, while also owning the day-to-day office environment so the rest of the team can focus on their work. This role spans both executive support and office operations, from board-meeting logistics to vendor management to new-hire onboarding.
Core Responsibilities
Executive Support
Partner closely with Fuse's C-Suite, primarily the CEO, managing complex, multi-timezone calendars and ensuring executive time is aligned to the highest-priority business needs.
Coordinate internal and external meetings across leadership syncs, board meetings, investor calls, and strategic partner engagements.
Own end-to-end travel logistics: transportation, accommodations, itineraries, and expense reporting.
Triage C-Suite email, flag urgent items, and draft responses as needed.
Prepare executives for high-stakes meetings with agendas, briefing materials, and summaries.
Liaise between the C-Suite and internal teams to drive alignment, clear communication, and timely follow-through.
Office & Operations
Serve as the operational backbone of Fuse's facility, owning the day-to-day environment so the team can focus on their work.
Manage vendor relationships, service contracts, facilities needs, and building coordination.
Own office supply and inventory management across common areas and workspaces.
Coordinate new hire onboarding logistics, workspace setup, equipment, access, and day-one readiness, in partnership with HR and IT.
Plan and execute company events, offsites, all-hands, and culture programming.
Manage onsite visitor and guest experience, including reception, conference room coordination, and VIP hospitality.
Own branded merchandise programs, including vendor sourcing, inventory management, and coordination of swag for onboarding, events, and partner gifting.
Anticipate operational needs, surface gaps proactively, and resolve issues before they escalate.
Minimum Qualifications
3+ years of experience supporting senior executives and/or managing office operations in a fast-paced environment.
Proficiency with Outlook, JIRA, Teams, and SharePoint, or equivalent calendar, project-tracking, communication, and documentation tools.
Strong organizational skills and discretion handling sensitive, confidential information.
Excellent written and verbal communication skills.
Preferred Qualifications
Experience supporting a CEO or C-Suite in a startup or high-growth environment.
Experience planning company events, offsites, or culture programming.

Additional Requirements
This is not a remote position and will require relocation if not already local to Fuse's San Leandro, CA facility.
Position may require extended hours to support executive schedules and company events.
