Role Overview
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive executive support to our Chief Executive (based in Hong Kong). In this critical role, you will serve as a primary point of contact and trusted gatekeeper—streamlining daily operations, managing complex schedules, and facilitating seamless communication across cross-functional leadership teams to drive organizational efficiency.
Key Responsibilities
Executive & Workflow Support: Manage and optimize complex, rapidly changing calendar schedules, coordinate regional travel itineraries, handle expense claims, and prepare comprehensive briefing packs for executive meetings.
Business Management & Operational Support:
Assist the Chief Executive in tracking KPIs, monitoring divisional operational workflows, and following up on strategic project deliverables across departments.
Consolidate data, draft performance reports, prepare business review presentations, and assist with division budget tracking and variance monitoring.
Stakeholder Management: Serve as the primary point of contact for internal teams and external executive stakeholders, handling sensitive communications with utmost confidentiality and professionalism.
CSR & Sustainability Initiatives: Coordinate and promote CSR initiatives, such as community service events, green office programs, and sustainability projects to drive team involvement.
Office Administration & Renovation: Manage general office administration and facility operations, taking ownership of space planning, vendor relations, and office renovation projects to maintain a modern, seamless workplace environment.
Requirements & Qualifications
Education & Experience: Degree holder with at least 3 years of administrative or business support experience, preferably in the financial or banking industry. Experience in banking or financial services is strongly preferred.
Language Skills: Excellent communication skills with high proficiency in written and spoken English and Chinese.
Personal Attributes: A proactive self-starter with an approachable demeanor, high energy, and the interpersonal polish to collaborate smoothly with stakeholders at all levels.
Agility & Drive: Proven ability to work independently, manage competing priorities, and remain composed under pressure in a fast-paced environment.
Organization & Analytical Mindset: Strong organizational and analytical skills with outstanding attention to detail, proactive problem-solving, and a self-initiated approach.
Tech Literacy: High proficiency in Google Workspace, Microsoft Office and modern digital productivity tools.
