Executive Assistant to GM
- Manage the General Manager’s calendar, appointments, meetings and priorities.
- Coordinate business travel, accommodation, transportation and detailed itineraries.
- Screen and prioritise incoming calls, emails, correspondence and meeting requests with sound judgement and discretion.
- Prepare professional correspondence, reports, presentations, meeting agendas and minutes.
- Coordinate communication between the General Manager, department heads, owners, corporate and regional offices, and external stakeholders.
- Act as the primary point of contact for the Executive Office and represent it professionally.
- Track decisions, assignments and deadlines, following up with responsible leaders to ensure timely completion.
- Anticipate the General Manager’s requirements and proactively address administrative and operational needs.
- Coordinate VIP arrivals, official visits, executive meetings, hotel events and leadership activities.
- Maintain confidential records, contracts, correspondence and other sensitive business documents.
- Prepare and reconcile expense reports and support other Executive Office administrative requirements.
- Maintain organised and up-to-date physical and electronic filing systems.
- Support the preparation of management reports, business reviews and operational presentations.
- Coordinate team events, off-site meetings, celebrations and special projects.
- Build effective relationships across departments and promote seamless cooperation throughout the hotel.
- Bachelor’s degree in Business Administration, Hospitality Management, Languages or a related field.
- Minimum of 2–3 years of experience as an Executive Assistant, Personal Assistant or Executive Secretary, preferably within a five-star hotel or international organisation.
- Previous experience supporting a General Manager or senior executive is preferred.
- Excellent command of written and spoken English and Arabic.
- Strong proficiency in Microsoft Office, particularly Outlook, Word, Excel, PowerPoint and Teams.
- Excellent organisational, communication and time-management skills.
- Strong ability to prepare professional correspondence, reports, presentations and meeting minutes.
- High level of confidentiality, integrity and professional discretion.
- Proactive, detail-oriented and capable of managing multiple priorities in a fast-paced environment.
- Professional appearance, positive attitude and strong interpersonal skills.
- Flexible, resourceful and able to work independently while collaborating effectively across departments.
