HRIS Technical Systems Analyst

Summary

The HRIS Technical Systems Analyst is responsible for the technical administration, configuration, and data integrity of the UKG (Ultimate Kronos Group) Human Resources Information System (HRIS). The teammate in this role serves as the subject matter expert on UKG system functionality, reporting, integrations, and data flows across connected systems within Buckle.

This teammate will ensure the accuracy, consistency, and reliability of HR data, while supporting system processes, reporting deliverables, and file feeds to internal and external stakeholders. This role works closely with the Director or HR Technology and cross-functional partners in HR, IT, Finance, and vendors to maintain system performance and support business operations, but is primarily focused on technical execution, system data quality, and backend functionality rather than strategic ownership or program leadership.

UKG System Administration and Configuration

  • Serve as the technical expert for UKG, including Core HR, Payroll, WFM, and other modules as applicable.
  • Maintain system configuration, business rules, workflows, permissions, and system settings within UKG.
  • Oversee the day-to-day maintenance of the HRIS, including user access, data integrity, and troubleshooting.
  • Support system updates, releases, and enhancements by testing, validating, and implementing changes.
  • Troubleshoot system issues, identify root causes, and implement solutions in collaboration with IT and vendors.
  • Ensure proper system functionality and alignment between configuration and business requirements.

Data Integrity and System Accuracy

  • Monitor, audit, and maintain high levels of data integrity across UKG and integrated systems.
  • Conduct regular data audits, validation checks, and reconciliations to identify discrepancies and ensure accuracy.
  • Investigate and resolve data issues, including inconsistencies between HRIS, payroll, benefits, and external systems.
  • Establish and enforce data standards, validation rules, and best practices to ensure consistency across platforms.
  • Partner with HR, Payroll, and other teams to correct data issues and improve data entry processes.

Reporting and Analytics

  • Design, develop, and maintain standard and complex reports within UKG, including dashboards and scheduled reports.
  • Deliver accurate and timely reporting to support HR, Finance, Payroll, Compliance, and business leadership.
  • Validate report outputs to ensure alignment with underlying data and business definitions.
  • Support audit requests and compliance reporting through accurate and reliable data extraction.
  • Optimize report performance and usability for end users.

Integrations and File Feeds

  • Manage and support all inbound and outbound data integrations and file feeds between UKG and other systems (e.g., benefits providers, financial systems, third-party vendors).
  • Monitor file transmissions to ensure successful delivery, accuracy, and timeliness.
  • Troubleshoot and resolve integration failures, data mismatches, and file errors.
  • Partner with IT and external vendors to design, test, and maintain system interfaces and data exchanges.
  • Ensure consistent data mapping and transformation across all integrated systems.

System Support and Issue Resolution

  • Serve as a technical escalation point for HRIS-related system and data issues.
  • Collaborate with the Director of HR Technology, and IT to support system incidents and operational challenges.
  • Assist in diagnosing and resolving system outages or disruptions by identifying data or configuration-related causes.
  • Provide guidance on downstream impacts of system issues, particularly related to data integrity and integrations.

Process Support and Continuous Improvement

  • Support process improvement efforts by identifying opportunities to streamline and automate HR workflows.
  • Assist in documenting current-state and future-state processes, ensuring alignment with system capabilities.
  • Recommend system enhancements to improve efficiency, data quality, and user experience.

Documentation and Technical Maintenance

  • Create and maintain technical documentation, including system configurations, data definitions, integration mappings, and reporting logic.
  • Document data flows, file layouts, and transformation rules for all system interfaces.
  • Maintain audit trails and documentation supporting system changes and data corrections.
  • Contribute to knowledge sharing and continuous improvement of system processes and technical standards.

Compliance and Security

  • Support data privacy and security protocols, ensuring compliance with applicable regulations (e.g., GDPR, HIPAA, EEOC).
  • Conduct regular audits of user access and permissions.
  • Assist in maintaining compliance documentation and audit readiness.

Collaboration and Cross-Functional Support

  • Work closely with the Director of HR Technology to support system initiatives, enhancements, and ongoing operations.
  • Partner with HR, Payroll, Finance, IT, and vendors to ensure accurate data flow and system functionality.
  • Translate business requirements into technical solutions within UKG.
  • Provide technical insight and recommendations to improve system performance and data quality.

Education and/or Experience

Bachelor's degree from four-year college or university in Human Resources, Information Technology, Business Administration, or related field; and 4-6 years related experience and/or training; or equivalent combination of education and experience.

Key Competencies

  • Experience working with UKG, including configuration, reporting, and integrations.
  • Strong understanding of HRIS data structures, data integrity principles, and system workflows.
  • Experience developing reports and working with data tools within UKG (e.g., Cognos, BI tools, or similar).
  • Knowledge of system integrations, file feeds (e.g., SFTP, APIs), and data mapping concepts.
  • Strong analytical and problem-solving skills with attention to detail.
  • Ability to manage multiple priorities and troubleshoot complex system issues.
  • Effective communication skills with both technical and non-technical stakeholders.
  • Familiarity with process mapping and continuous improvement concepts (preferred).
  • Understanding of HR compliance and data security requirements.
