Human Resources Specialist
The HR Specialist manages and executes the daily operations in support of the Human Resources department while taking full ownership of assigned HR processes end-to-end. This role partners with HR leadership and business partners to execute, and continuously improve HR programs across onboarding, employee lifecycle management, records management, HRIS administration, and HR compliance. The HR Specialist serves as a knowledgeable resource for managers and employees, delivering consistent, compliant, and people-centered HR service across the organization.
Key Responsibilities:
Administrative & Operational Support
- Manage day-to-day HR administration and operational support activities, serving as a reliable resource for the HR team and employees.
- Develop, maintain, and manage HR documents, templates, forms, and processes supporting the employee lifecycle.
- Own HR administrative programs such as tuition reimbursement and labor law posting compliance, ensuring timely and accurate execution.
- Respond to employee inquiries via email, phone, and the HR ticketing system, resolving routine matters independently.
- Participate in special projects and HR initiatives as assigned.
- Perform additional duties as assigned.
Employee Records & HRIS Maintenance
- Own the accuracy and integrity of employee data within the HRIS, including proactive auditing and resolution of discrepancies.
- Maintain complete, organized, and compliant employee files in both digital and physical systems with a high degree of accuracy and confidentiality.
- Manage file-related requests such as subpoenas, legal requests, and property/employee inquiries with appropriate approvals.
- Lead audit, reporting, and record retention practices to ensure completeness and regulatory compliance.
- Support immigration, EEO, and labor compliance efforts as needed.
Onboarding & Employee Lifecycle
- Work with HR Operations team to support the management of end-to-end employee lifecycle workflow from pre-boarding through offboarding, ensuring seamless transitions at every stage helping to promote productivity and engagement.
- Own I-9 compliance requirements, ensuring accurate and complete documentation for new hires, work authorizations, visas, resident aliens, and reverifications.
- Monitor E-Verify system results and support HR and properties in resolving discrepancies.
- Manage employment verification processes, working across departments as required.
- Partner with the HR Operations team to execute and continuously improve the offboarding process.
Analytics & Reporting
- Generate and maintain HR reports, org charts, and ad hoc data requests to support HR analysis and business decision-making.
- Develop and manage HR data dashboards that track program effectiveness and workforce trends.
- Work with the HR Business Partners to provide data to proactively identify risks, opportunities, and priorities, presenting findings to HR leadership.
- Provide HR leadership with regular reporting on key metrics to support business needs.
Qualifications:
Required Experience:
- Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent experience).
- Minimum of 1–2 years of HR or HR-related experience; HR internship experience
- Working knowledge of HR functions including onboarding, recordkeeping, and HR compliance; familiarity with employment law basics.
- Experience with an HRIS or ATS platform (e.g., UKG, Workday, ADP, iCIMS) and proficiency in Microsoft Office Suite. Experience with AI applications and functionality preferred (Co-Pilot or Claude ideal).
- Strong organizational skills and meticulous attention to detail.
- Excellent interpersonal, written, and verbal communication skills.
- Proven ability to manage multiple projects and priorities independently in a fast-paced environment.
- Ability to handle sensitive information with confidentiality and discretion.
Preferred Experience:
- PHR, aPHR, or SHRM-CP certification, or active pursuit of HR certification preferred.
- Strong working knowledge of employment law, HR compliance, and HR best practices.
- Experience supporting multi-location or multi-property organizations.
- Prior experience in hospitality, golf, or a service-oriented industry a plus.
- Bilingual (English/Spanish) a plus.

Physical Demands & Work Environment
- Primarily office-based work environment.
- Ability to sit, stand, walk, and use standard office equipment for extended periods.
