Manager, Card Reconciliation

Job description

To execute the section's operational activities ensuring risk is managed effectively and service is provided according to agreed SLAs with the internal clientele. To provide service to our customers quickly without disruptions as per the agreed non-BAU and escalation matrices by mitigating risk and losses. Ensure timely submission of reports to MIS team for compiling. Authorize all manually matched items with difference in value dates and inform departments concerned. Submission of dashboard reporting across iTRACs case books under the specific account groups and IntelliMATCH accounts. Verify monthly reconciliation reports and forward to line manager for review. Execute the archiving of reconciliation records and miscellaneous reports. Track the daily issues and operational risk through tick lists, accounts lists allotted to staff and traffic light reporting. Provide and control unapplied credits account, unpresented and unclaimed accounts. Ensure timely submission of reports.

Review of exception management handling interface where cases are escalated via system defined rules and BAU (Business As Usual) periods defined and agreed with internal clientele by applying factual and judgmental skills in decision making process of creating the case by specialized processors within reconciliation department. Providing project management skills in automation process. Coordination with ITD for additions, modifications and deletions of system administrative tasks. Establish effective non-BAU reporting for all items escalated to high-level management by means of management information.

Team supervision

Provide guidance and on the job training for junior colleagues and conduct knowledge sharing to facilitate achievement of team objectives and completion of tasks in an efficient manner which is consistent with operating procedures and policy. Promote the organisation's values and ethics in all activities within the team in order to support the establishment of a value-driven culture within the bank.

Policies, systems, processes & procedures

Provide inputs and implement policies, systems and procedure for the assigned team so that all relevant procedural/legislative requirements are fulfilled while delivering a quality, cost-effective service. Follow all relevant departmental policies, processes, standard operating procedures, and instructions so that work is carried out in a controlled and consistent manner. Demonstrate compliance to organisation's values and ethics at all times to support the establishment of a value-driven culture within the bank.

Continuous improvement

Contribute to the identification of opportunities for continuous improvement and sustainability of systems, processes and practices considering global standards, productivity improvement and cost reduction.

Reporting

Assist in the preparation of timely and accurate statements and reports to meet department requirements, policies and quality standards.

Service

Always ensure self-adherence to relevant processes and recommend changes in the procedures, processes or systems onshore and offshore in line with development in the industry. Assist in driving the implementation of robust tools/processes to identify, mitigate and assist on identifying operational risks within the internal control of operational units, in the form of conducting reviews, mini-audits and follow-ups on open issues by ensuring nil outstanding exceptions. Identify and report errors or missed TAT from onshore unit without direct oversight. Assist internal and external clients in the development of reconciliation services. Highlight transactions with high levels of risk. Update operations risk with sufficient data on non-reconciling items from time to time with reference to monthly dashboards. Application and use of extensive business insight to advise management on the formulation of business change strategies. Escalate all risk related issues to AVP via traffic lights.

Risk

Ensure all items are escalated, whichever exceed the non-BAU tolerance levels as per the agreed escalation matrices and SLAs. Responsible to escalate high value amounts or long outstanding issues at correct levels of agreed escalation matrices. Responsible to update management on long outstanding or legacy in order to inform stakeholders on risk levels. Ensure all accounts on the reconciliation system are in a balanced status. Maintain all updated account list and SLAs. Manage controls on new procedures and control potential risks. Work closely with subordinates to resolve outstanding items reported in dashboard reports.

Efficiency

Deliver tasks effectively with the consideration of time and business benefit. Ensure reconciliation and operation controls are run effectively in line with business requirements on tolerance levels and their BAU periods defined by their escalation matrices. Highlight improvements if any or where required when reflected on KPIs.

Qualifications & experience

Minimum qualification
Bachelor's degree in business economics, commerce and finance or related discipline.

Minimum experience
4-8 years' relevant experience in the banking sector with at least 5 years in similar positions of progressively increasing managerial responsibilities in the core processing function.
