SUMMARY
The Ford Mobile Service Coordinator leads the daily logistics, customer scheduling, and operational worktlow for our off-site mobile maintenance and light repair units. This role bridges customer communication, dealership service operations, and field technician dispatching to deliver seamless, on-site service to retail and fleet clients.
ESSENTIAL DUTIES include the following. Other duties may be assigned.
Scheduling & Route Logistics
- Manage daily appointment calendars for mobile service vans and remote technicians.
- Optimize daily travel routes based on location, job duration, technician skill level, and traffic constraints.
- Coordinate with Fleet Accounts and retail customers for on-site access, parking clearance, and vehicle staging.
Dispatch & Fleet Operations
- Serve as the central point of contact for mobile service technicians in the field.
- Monitor real-time job completion, route delays, and unexpected parts requirements.
- Ensure mobile van units are properly stocked, clean, and maintained according to Ford standards.
Service Prep & Parts Staging
- Review upcoming repair orders (ROs) 24-48 hours in advance to verify recall parts, maintenance kits, and specialized tools are staged.
- Partner with the Parts Department to ensure zero delays in van loading prior to morning dispatch.
- Pre-diagnose basic service needs {e.g., recall eligibility, tire sizing, battery specs) before confirming remote visits.
Customer Communication & Experience
- Provide clear pre-visit instructions to customers (key handoff, vehicle positioning, payment expectations).
- Send automated or manual updates regarding arrival windows and completion times.
- Handle customer inquiries, post-service follow-ups, and field issues promptly.
Administrative & Repair Order Processing
- Open, track, and close mobile Repair Orders within the dealership management system {OMS).
- Process field payments and upload digital inspection reports {MPls) directly into customer files.
- Track key performance indicators (KPls) including van utilization rates, jobs per day, and customer satisfaction (CSI).
- Provide back-up as needed to Express Service Advisors.
EDUCATION and/or EXPERIENCE
2+ years in automotive dealership service writing, dispatching, or logistics coordination
{Ford/Lincoln OMS experience preferred).
- Technical Aptitude
- Familiarity with basic automotive service terminology, Ford recall procedures, and maintenance cycles.
- Systems Proficiency
- Strong skills with OMS platforms (COK, Reynolds & Reynolds, or Xtime), route optimization software, and GPS tracking.
- Communication
- Excellent phone, text, and email communication skills with a strong customer-first mindset.
