Notion Systems/Operations Manager

Gravira Group
Luck doesn’t happen. It accumulates.

At Gravira Group, we believe exceptional results are built through thousands of smart decisions, fast experiments and people who care enough to ask one more question.
That’s what Gravity of Luck means to us.

We’re building one of the fastest-growing iGaming products in Tier-1 markets, and we’re looking for people who enjoy turning complexity into systems that actually work.

About Gravira Group
Gravira Group is a product iGaming company focused on Tier-1 markets.
We build and scale our own products by combining Product, Acquisition, CRM, Payments, Engineering and Operations into one high-performance system.

We move fast.
We make decisions based on data.
We trust ownership over bureaucracy.

Why this role exists
As a company grows, the number of processes, teams and dependencies grows with it.
Without the right systems, information gets scattered, processes become harder to follow, and teams spend time solving the same problems repeatedly.

Your mission is to turn business requirements into clear, scalable and intuitive systems that make the company easier to operate.
You’ll work directly with the Head of Product, translating strategic requirements into practical Notion workspaces, workflows, databases, documentation and automations.
You won’t simply maintain Notion.
You’ll help build the operational infrastructure the company runs on.

What You’ll Own
Owning the structure, administration, maintenance and continuous improvement of the company’s Notion workspace.
Designing scalable databases, dashboards and operational systems from scratch using relations, rollups, formulas, templates, views, permissions and advanced database logic.
Translating business requirements and the Head of Product’s direction into practical Notion systems, workflows and automations.
Collecting requirements from Product, CRM, HR, Marketing, Operations and other teams and turning them into clear system specifications.
Building interconnected systems for Product Development, Project Operations, CRM, HR, documentation and other business functions.
Mapping and improving business processes, including responsibilities, statuses, dependencies, approvals, handovers and escalation flows.
Creating integrations, notifications and automated workflows between Notion, Slack, CircleBack, ChatGPT, AI agents, meeting tools and other company services.
Validating solutions with the Head of Product and relevant stakeholders before implementation.
Maintaining workspace consistency across naming conventions, properties, views, permissions, ownership, dependencies, instructions and information quality.
Creating clear documentation, process guides, field descriptions and user instructions.
Auditing existing workflows to identify bottlenecks, duplicated work and opportunities for automation.
Supporting adoption by training team members, collecting feedback and improving systems based on real usage.
Taking ownership of additional Product and Operations initiatives where structure, coordination or process development is required.

What Success Looks Like
Six months after joining Gravira Group:
The Notion workspace is structured, consistent and easy for teams to navigate.
Business processes are clearly documented and easier to follow.
Teams spend less time searching for information or figuring out how processes work.
Repetitive operational work is increasingly automated.
Cross-functional workflows have clear ownership, statuses and dependencies.
New systems are delivered with minimal rework because requirements are understood and clarified upfront.
Teams actively use the systems you build because they are intuitive and genuinely useful.
The Head of Product can rely on you to turn operational requirements into working systems without needing to manage every implementation detail.
Notion evolves from a documentation tool into a reliable operational layer for the company.

We’re Looking For Someone Who
Has advanced hands-on experience with Notion and has managed complex company workspaces.
Can build databases, dashboards, templates and interconnected operational systems from scratch.
Understands Notion relations, rollups, formulas, filters, views, permissions and native automations.
Has experience in Operations, Business Process Management, Project Management, Product Operations, Product Management or Business Systems.
Understands business logic, process architecture, CRM structures, documentation and cross-functional workflows.
Can integrate Notion with external services using native connections, APIs, AI-powered tools, webhooks or other suitable solutions.
Is strong at gathering requirements, asking the right questions and identifying missing information before implementation.
Can translate complex business needs into simple, practical and user-friendly systems.
Has strong structural and analytical thinking with exceptional attention to detail.
Naturally cares about clean, consistent and well-documented systems.
Takes ownership and proactively identifies opportunities for improvement while working within the agreed company direction.
Can explain complex systems clearly to both technical and non-technical users.
Has English at B2 level or higher.

Nice to Have
A portfolio of Notion workspaces, databases, dashboards or operational systems you have designed.
Notion certification or experience as a Notion consultant or workspace architect.
Experience with AI tools, AI agents, meeting-intelligence platforms and automated knowledge-management workflows.
Experience with APIs, webhooks, low-code tools or basic scripting.
Experience documenting and optimizing end-to-end business processes.
Experience building CRM, HR, Product Development or company-wide knowledge-management systems.
Experience in startups, iGaming or other fast-moving international environments.

Why Gravira Group
This is a role for someone who likes turning chaos into structure.
You’ll work directly with the Head of Product and have real ownership over the systems you build.
Your ideas won’t disappear into layers of approvals.
You’ll have the opportunity to identify problems, propose solutions, validate them with stakeholders and lead implementation.

We value:
Ownership over bureaucracy.
Structure over complexity.
Initiative over waiting for instructions.
Quality over quick fixes.
And people who leave every system better than they found it.

Build Gravity of Luck
At Gravira Group, luck isn’t random.
It’s the result of curiosity.
Of ownership.
Of speed.
Of hundreds of small improvements that compound over time.
If you enjoy taking complex processes, finding the logic behind them and turning them into systems that simply work, you’ll feel at home here.

Build Gravity of Luck with us.
