About the role
We are looking for a reliable, hands-on Office Manager to handle the day-to-day office administration in the company.
This is a role for someone who likes to get things done and keeps everything running: paperwork, filings, communication with banks and authorities, accounting and the many minor tasks that keep a business compliant and organised. You will work closely with our management and accounting team and become the go-to person for anything administrative on the Estonian side.
For the right person who proves themselves, there is real room to grow into a broader, more senior role within the group over time.

What you'll do
- Handle day-to-day administrative tasks and paperwork across our entity in Estonia.
- Support accounting-related administration (invoices, records, correspondence) in coordination with our internal and external accountant.
- Act as a local point of contact in Estonia and handle correspondence with relevant authorities.
- Prepare, organise and keep track of company documents, contracts and official filings; liaise with our accountant and management.
- Take ownership of ad-hoc administrative needs – the practical, everyday tasks that keep the work running smoothly.
Who we're looking for
- At least 3 years in an office administrator / secretary type role, ideally in a small company where you handled a bit of everything – admin, documents, accounting support and banking.
- Local know-how: Familiar with how Estonian companies operate day-to-day – banks, accounting, legal - and standard business administration.
- Languages: Fluent English and Russian together with excellent Estonian;
- AI: Practical use of modern digital tools, including AI assistants, to work faster.
- Attitude: Motivated, proactive and hands-on - someone who wants to contribute effectively
- Discreet: you will handle confidential corporate and financial documents.
- Independent and proactive: you organise your own work, take ownership of loose ends and keep things moving without day-to-day supervision.
- Other: Estonian citizen, based in or near Tallinn and able to work from office (upon necessity)
Nice to have
- Experience with international groups or multi-entity structures.
