Operations Executive
About the Role
Zenith Facility Services is a NEA-licensed cleaning and integrated facility management company operating across hawker centres, healthcare facilities, preschools, commercial buildings and premium residential developments in Singapore.
We are seeking a hands-on and reliable Operations Executive to lead day-to-day field operations, manpower deployment and client servicing across our contracts.
This role suits someone who thrives on the ground — solving operational problems as they happen, supervising crews, and holding service standards steady across multiple sites. It is not a desk role.
Who You Will Work With
• Admin Executive — manages recruitment, documentation, payroll inputs and compliance records. You will provide real-time operational input (attendance, punctuality, disciplinary matters, onboarding support) so that records stay accurate.
• Chief Executive Officer — oversees operational improvement and customer satisfaction. You will provide ground-level insight and recommendations that support service quality and contract retention.
• Business Development/Sales Support —drives client relationships and new opportunities. You will support this by maintaining strong relationships during site visits, flagging expansion or additional-service opportunities at existing accounts, and passing on referrals and new contacts.
Together these roles form the backbone of frontline delivery and back-office support.
Key Responsibilities
1. Site Operations & Service Quality
• Oversee daily operations across assigned customer sites.
• Conduct site inspections and audits to uphold cleaning and service standards.
• Respond promptly to operational issues and service lapses, and close them out properly.
• Ensure compliance with workplace safety requirements, SOPs and NEA standards.
2. Manpower Deployment & Supervision
• Plan and allocate manpower daily based on site requirements and contract obligations.
• Supervise cleaning crews, ensuring punctuality, grooming, conduct and performance.
• Coordinate replacement staff to close urgent manpower gaps.
• Provide attendance and performance updates to the Admin & HR Executive.
3. Client Servicing & Account Management
• Act as the main operations liaison for assigned clients.
• Address concerns and follow through on service recovery until the client is satisfied.
• Build strong working relationships that support contract retention and renewal.
• Provide periodic operational updates and reports to clients.
4. Site Inventory, Equipment & Vendor Coordination
• Monitor stock levels of cleaning consumables, chemicals and equipment across sites.
• Arrange repairs, replacements and replenishment before shortages affect service.
• Coordinate with vendors on equipment servicing and maintenance.
Site consumables and operational equipment sit with this role.
5. Reporting &Continuous Improvement
• Prepare site reports, incident logs and monthly operational summaries.
• Track manpower utilisation and performance trends across contracts.
• Recommend improvements to efficiency, cost control and service quality.
Requirements
Essential
• Diploma or Degree in any discipline (Operations, Facilities Management or Building Services preferred).
• Strong leadership and communication skills, with the confidence to supervise ground staff directly.
• Practical problem-solving ability — you fix what is in front of you rather than escalating it.
• Comfortable managing multiple sites and shifting priorities within the same day.
• Willing to travel daily to client locations across Singapore.
• Customer-service oriented, adaptable and proactive.
Advantageous
• Experience in cleaning, facilities management, security, logistics or similar operations.
• Familiarity with NEA cleaning standards, WSH requirements, bizSAFE or the Progressive Wage Model.
• Class 3 driving licence and own transport.
• Conversant in a second language commonly spoken by frontline crews.
Working Arrangements
We would rather be upfront about this than surprise you later:
• Cleaning operations begin early. Expect early morning site starts on a regular basis.
• This is a travelling role across multiple client sites, not a fixed-location job.
• Occasional after-hours or weekend attendance is required for incidents, audits and mobilisations, on a shared rotation.
