As an Operations Specialist, you'll be the hands-on operator who executes the tasks set by
senior leadership and keeps our newsletter portfolio running cleanly and safely. This is an
execution role, not a coordination or management seat. The work is varied: no two days look the
same, and you'll move across accounts, content, tooling, and recurring routines depending on
what the business needs that week. You'll take direction from the GM and senior leadership and
turn it into completed, high-quality work, mostly done by your own hands. A lot of the work is
detailed and repetitive by nature, and doing it precisely, every time, is exactly what makes this
role valuable.
The role carries a high level of responsibility and discretion. You'll have direct access to
sensitive accounts, data, and internal processes, and we need someone we can fully trust to
handle them carefully, keep confidential information confidential, and execute reliably without
being chased. We're looking for a detail-obsessed "working bee" who gets things done at a high
standard and takes real ownership of everything they touch.
Key Responsibilities:
- Execute operational tasks set by the GM, Head of Operations, and senior leadership end
to end, turning their priorities and ideas into completed, high-quality work
- Implement experimental approaches in both emailing and operational areas (from 0-100)
- Occasional onboarding of email newsletters: register new ESP accounts, handle basic
setup and sender configuration, communicate with platform support/compliance, verify
accounts, and bring everything to launch-ready before handing it over
- Support in running recurring operational routines across many accounts: subscriber
backups (at varied times/days), suppression-list exports, inactive-lead cleanup, and
account health checks
- Use AI tools (ChatGPT, Claude, and others) to support content generation and QA,
applying prompt engineering to check outputs meticulously against internal rules,
including catching AI tells
- Maintain SOPs, trackers, and documentation in Notion so processes stay clean and
repeatable
- Follow internal account-safety practices carefully (varied patterns across segments,
naming) so accounts are never put at risk
- Flag issues early (dropping open rate, rising unsubscribes, deliverability problems) and
apply the correct fix from the internal playbook
- Identify repetitive manual work and build automations to reduce it, using n8n and other
workflow tools where possible
- Handle sensitive accounts, data, and internal information with full discretion and care
Requirements:
- 3+ years in operations, execution, or hands-on specialist roles
- Strong organizational skills and meticulous attention to detail
- High ownership and a high sense of responsibility over everything you're trusted with
- Comfortable with repetitive, hands-on operational work over the long term, and with a
varied, shifting set of tasks
- Discretion and reliability with sensitive accounts, data, and confidential information
- Ability to work independently and deliver without being chased
- Comfortable working in fast-changing, unstructured environments and bringing order to
them
- Basic understanding of email marketing (campaigns, open rate, CTR)
- Basic understanding of affiliate/referral workflows
- Confident use of AI tools (ChatGPT, Claude) and basic prompt engineering, ability to generate and QA content meticulously against internal rules
- English level: B2

- Entrepreneur mindset and previous experience
- Experience with email platforms (Beehiiv, Mailchimp, Substack, Ghost, Brevo, ConvertKit
or similar)
- Basic understanding of email deliverability and sender warmup processes
- Experience working with or communicating with the compliance teams of various
services, ideally in the email space
- Experience with proxies, VPNs, and antidetect tools/browsers (e.g. Multilogin, Dolphin,
or similar)
- Experience with workflow automation tools (Make, Zapier, n8n)
- Tech-adjacent background or strong technical literacy
- Experience in media, newsletters, affiliate, or performance marketing
- Experience working with distributed or international teams
- Prior experience in a role requiring high trust, confidentiality, or handling sensitive
operations
