Overview
The Payroll & HRIS Manager is responsible for leading payroll operations and the administration, optimization, and ongoing development of the company's HR and workforce technology systems. This role oversees accurate and compliant payroll processing across a multi-state, multi-location organization, establishes strong payroll controls and processes, and serves as the primary functional owner of UKG Pro and related HR/payroll systems.
The Payroll & HRIS Manager partners closely with Human Resources, Finance, Accounting, Benefits, Operations, and external vendors to ensure payroll and employee data are accurate, systems effectively support business needs, and processes are efficient and scalable. This position also supports payroll and HRIS projects, reporting and analytics, system implementations and upgrades, integrations, data governance, and continuous improvement initiatives.
The ideal candidate combines strong payroll expertise with technical HRIS knowledge, analytical and critical thinking skills, and the ability to lead people, processes, systems, and cross-functional projects.

Responsibilities
Responsibilities will include, but are not limited to:
Payroll Operations:
- Oversee accurate, timely, and compliant U.S. payroll operations across multiple states, locations, and legal entities.
- Support Canadian payroll operations, ensuring coordination and controls across U.S. and Canadian payroll activities.
- Process payroll for U.S. and Canadian salary pay groups.
- Manage payroll staff and provide training, coaching, development, and day-to-day guidance.
- Maintain payroll expertise and provide hands-on support and backup coverage as needed.
- Review payroll results, reconciliations, audits, and exceptions to resolve errors before payroll is finalized.
- Maintain payroll controls, approvals, audit procedures, and documentation to ensure accuracy and reduce risk.
- Develop and improve payroll SOPs and process documentation.
- Oversee payroll adjustments, off-cycle payments, corrections, garnishments, tax issues, and other complex transactions.
- Serve as an escalation point for complex payroll and timekeeping questions.
- Partner with Accounting and Finance on payroll accounting, reconciliations, reporting, budgeting, and related financial processes.
- Support payroll activities related to acquisitions, new locations or entities, organizational and policy changes, and business initiatives.
Compliance:
- Coordinate payroll compliance reporting, filings, audits, and 401(k) funding and compliance activities.
- Maintain payroll controls, approvals, documentation, tax payment processes, and audit procedures to ensure accuracy and reduce risk.
- Monitor payroll regulations and recommend system, policy, or process updates.
- Perform recurring payroll system and data audits to identify risks, resolve integrity issues, and strengthen controls.
HRIS:
- Serve as functional owner and SME for HRIS and workforce technology platforms, including UKG Pro and related systems.
- Lead HR and payroll system administration, configuration, optimization, security, workflows, interfaces, and file feeds.
- Translate business needs into technology solutions that improve efficiency, controls, user experience, and data accuracy.
- Lead or support implementations, upgrades, testing, integrations, acquisitions, vendor coordination, and system projects.
- Maintain HRIS governance, documentation, change controls, testing standards, and recommend enhancements or new technologies.
Leadership:
- Lead and develop payroll team members while promoting accountability, collaboration, and improvement.
- Improve payroll and HRIS processes through automation, standardization, simplification, and stronger controls.
- Build strong partnerships across HR, Finance, Accounting, IT, Operations, and other functions.
- Stay current on payroll, HR technology, regulatory changes, and industry trends.
- Perform other duties and special projects as assigned.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Accounting, Finance, Information Systems, or related field preferred; CPP designation preferred.
- Minimum 7 years of progressive payroll experience, including multi-state, multi-location payroll; Canadian payroll experience preferred.
- Experience leading payroll operations, employees, projects, or significant functional initiatives strongly preferred.
- Advanced HRIS and payroll technology experience, including UKG Pro, workforce management, implementations, upgrades, integrations, testing, configuration, and process improvement.
- Strong reporting, analytical, Excel, project management, organizational, and problem-solving skills, with the ability to manage priorities and analyze complex data.
- Strong attention to detail, business judgment, confidentiality, and ability to partner effectively across HR, Finance, Accounting, IT, Operations, and other functions.
