PROCUREMENT ADMINISTRATION STAFF

Job Summary:**

We are seeking a highly organized and detail-oriented Procurement Administration Staff to support the procurement team at PT Japfa Food Indonesia. This role involves assisting with the administrative aspects of the purchasing process, ensuring efficient operations and accurate record-keeping.

Job Responsibilities:**

* Process purchase requisitions and purchase orders accurately and in a timely manner.
* Maintain and update vendor information, ensuring all data is current and complete.
* Communicate with suppliers to follow up on order status, delivery schedules, and resolve minor discrepancies.
* Assist in preparing and reviewing procurement documents, including contracts, invoices, and shipping documents.
* Organize and maintain procurement files, both physical and digital, ensuring easy retrieval and compliance.
* Support the procurement team in data entry, report generation, and analysis as required.
* Coordinate with internal departments (e.g., finance, warehouse) to ensure smooth procurement operations.
* Assist in identifying and resolving administrative issues related to the procurement process.
* Perform other administrative duties as assigned by the procurement manager.

Job Qualifications:**

* Minimum of a Diploma (D3) in Administration, Business Management, Supply Chain, or a related field.
* Proven experience (1-2 years) in an administrative role, preferably within a procurement or supply chain department.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential.
* Excellent organizational and time management skills with a strong attention to detail.
* Ability to communicate effectively, both verbally and in writing, in Bahasa Indonesia and English.
* Strong interpersonal skills and the ability to work collaboratively in a team environment.
* Proactive attitude with the ability to prioritize tasks and meet deadlines.
* Familiarity with procurement software or ERP systems is a plus.
