Project Coordinator
POSITION SUMMARY:
The Project Coordinator, Data Operations provides foundational project support to the CIBMTR Data Operations team. This role assists with project documentation, scheduling, task tracking, communication, and cross‑team coordination to support successful execution of Data Operations initiatives.
ACCOUNTABILITIES:
Project Documentation & Meeting Support:
• Maintain project schedules, work plans, and tracking tools.
• Prepare meeting agendas, notes, action items, and follow‑up summaries.
• Schedule project meetings and assist with preparation and distribution of materials.
• Support creation and updates of FAQs, reports, presentations, and documentation related to Data Operations and DTI workstreams.
Communication & Cross-Team Coordination:
• Support communication with internal and external stakeholders by sharing updates and maintaining accurate documentation.
• Assist with cross‑team coordination related to Data Operations project activities.
• Prepare slide decks, status summaries, and similar communications as needed.
Risk & Issue Support:
• Support risk tracking by updating logs and ensuring timely escalation of potential issues.
Operational & Process Support:
• Maintain documentation repositories (e.g., SharePoint), ensuring version control and accuracy.
• Identify workflow gaps or inefficiencies and share them with project leads for continuous improvement.
• Participate in cross‑functional learning activities, training opportunities, and onboarding modules designed for Data Operations team members.
• Engage in development needed to build toward the competencies required of the Project Manager role, including communication, stakeholder engagement, basic issue escalation, and understanding of clinical data project workflows.
• Other duties as assigned.
REQUIRED QUALIFICATIONS:
Knowledge of:
• Strong written and verbal communication skills.
• Demonstrated capability in standard office and project management applications – i.e., Microsoft Office, Microsoft Project.
• Demonstrated ability to organize tasks, manage logistics, and maintain documentation.
• Attention to detail, ability to follow through, and comfort working in a fast‑paced environment under conditions of uncertainty and change.
Ability to:
• Work independently; is self-motivated and willing to take initiative to complete tasks with minimal direction.
• Be highly organized and attentive to detail.
• Adapt, learn, and respond to changes quickly.
Education and/or Experience:
• Associate’s degree or equivalent experience.
• 1-2 years of experience supporting projects, programs, operations, customer service, or administrative activities
PREFERRED QUALIFICATIONS: (Additional qualifications that may make a person even more effective in the role, but are not required for consideration)
• Bachelor’s degree
• Familiarity with project management concepts, tools, or methodologies.
• Familiarity with cross‑functional project communication practices.
• Experience preparing reports, trackers, or operational documentation.
• Familiarity with clinical or research terminology (e.g., cellular therapies, hematopoietic stem cell transplant, blood and tissue cancers, immune diseases).
