Project Coordinator | Research Enablement, IT Services | Grade 5

We are seeking a motivated, organised and collaborative individual to join our team as a Project Coordinator within the Research Enablement Portfolio in IT Services. This role offers an exciting opportunity to support projects, including One Research Facility (ORF), that improve how research activity is planned, governed and delivered. You will provide high-quality administrative, operational and project coordination support, while helping colleagues capture requirements, improve reporting and strengthen user guidance.

You will be responsible for:

  • Applying analytical skills to interpret information, identify trends, issues and risks, and support evidence-based planning, monitoring and delivery of a project using agile project management methodology.
  • Supporting specific deliverables, including planning activity, process review, presentations, data analysis and reports with Project Managers.
  • Using project management tools, with Jira currently the preferred platform, to support the effective management of project activity.
  • Helping translate user and stakeholder needs into clear requirements, user stories, support materials and reporting actions.
  • Developing a user-focused approach to self-service, guidance and training to improve the user experience and reduce avoidable contacts.

  • Confidence applying project management principles, methods, techniques and tools to manage projects from initiation to implementation.

  • Confidence using automated project management tools for scheduling, resource balancing, time recording and risk management.

  • Confidence with methods and techniques for reporting progress and financial conformance against an agreed plan.

  • Excellent organisation, attention to detail and accurate record keeping.

  • Clear communication and collaborative working with colleagues and stakeholders.

  • Familiar with identifying, assessing and managing project risks affecting time, cost or delivery quality.

  • Familiar with change management methods, models, tools, assessments, and processes.

  • Ability to gather, clarify and document requirements, user needs, processes and reporting information.

  • Ability to create clear guidance, FAQs and training materials that support accurate data capture and continual improvement.

  • Confidence supporting workshops, including preparation, facilitation support and accurate documentation of outputs.
