Job Description – Warehouse Assistant Manager
Job Purpose
The Warehouse Assistant Manager is responsible for supporting the efficient and effective day-to-day management of warehouse operations, including receiving, storage, inventory control, picking, packing and dispatch activities.
The role supervises warehouse employees, maintains inventory accuracy, ensures orders are processed and dispatched on time, and supports continuous improvement of warehouse productivity, safety and operational standards.
The incumbent will work closely with the Warehouse Manager, Operations team, delivery personnel and other departments to ensure smooth coordination between warehouse and courier/logistics operations.
Key Responsibilities
1. Warehouse Operations
Assist in overseeing daily warehouse activities, including receiving, unloading, checking, put-away, storage, picking, packing, staging and dispatch of goods.
Ensure incoming and outgoing goods are processed accurately and within the required turnaround time.
Coordinate warehouse activities with delivery and courier operations to ensure timely fulfilment and dispatch.
Monitor the proper handling, storage and movement of goods to minimise damage, loss and discrepancies.
Ensure warehouse space is utilised effectively and goods are stored systematically for efficient retrieval.
2. Inventory Management
Maintain accurate inventory records and ensure physical stock corresponds with system records.
Conduct regular cycle counts and stocktakes and investigate inventory discrepancies.
Monitor stock movements, slow-moving inventory, damaged goods and other inventory exceptions.
Prepare inventory reports and recommend appropriate corrective actions where required.
Ensure proper documentation and traceability of all stock movements.
3. Team Supervision
Supervise, guide and coordinate the daily activities of warehouse employees.
Allocate manpower according to daily operational requirements and workload.
Conduct daily briefings and communicate operational priorities, deadlines and safety requirements.
Monitor employee productivity, attendance, work quality and compliance with SOPs.
Coach and train new and existing employees on warehouse procedures, equipment handling and safety requirements.
Support the Warehouse Manager in managing employee performance and addressing operational or disciplinary issues where necessary.
4. Order Fulfilment & Logistics Coordination
Ensure orders are picked, packed, labelled and prepared accurately for delivery.
Liaise with Operations, drivers, couriers and other relevant departments on delivery schedules and operational requirements.
Monitor urgent, delayed or incomplete orders and take prompt corrective action.
Ensure shipping and delivery documents are accurate and complete.
Support the resolution of operational issues relating to missing, damaged, incorrect or delayed shipments.
5. Safety, Security & Housekeeping
Maintain a safe, clean and organised warehouse environment.
Ensure employees comply with workplace safety requirements and internal operating procedures.
Promote good housekeeping and 5S practices throughout the warehouse.
Ensure warehouse equipment and material-handling equipment are used safely and appropriately.
Report accidents, hazards, equipment defects and unsafe practices promptly.
Support investigations and corrective actions relating to warehouse incidents.
6. Process Improvement
Review warehouse processes and identify opportunities to improve productivity, accuracy and turnaround time.
Assist in developing and implementing warehouse SOPs, workflows and operational controls.
Recommend improvements to warehouse layout, stock locations and material flow.
Support automation, warehouse-management systems and other digitalisation initiatives.
Monitor operational bottlenecks and implement corrective or preventive actions.
7. Reporting & Administration
Maintain accurate warehouse records and operational documentation.
Prepare daily, weekly and monthly operational reports as required.
Monitor key warehouse performance indicators and provide updates to management.
Assist with manpower planning, scheduling and operational resource requirements.
Perform other warehouse, logistics and operational duties assigned by Management.
Job Requirements
- Diploma or equivalent qualification in Logistics, Supply Chain Management, Warehouse Management, Business Operations or a related discipline.
Experience with recognised WMS platforms commonly used in Singapore, such as - SAP EWM / SAP WM, Oracle Fusion Cloud WMS, Infor WMS, Microsoft Dynamics 365 Warehouse Management, NetSuite WMS, Infolog WMS, Anchanto, HashMicro or equivalent systems will be advantageous.
- Preferably 3–5 years of relevant warehouse, logistics or distribution experience, including supervisory or team-leading responsibilities.
- Experience in courier, logistics, fulfilment, distribution or wholesale operations will be advantageous.
- Good understanding of warehouse operations, inventory control and order-fulfilment processes.
- Experience with Warehouse Management Systems (WMS), inventory systems or ERP systems will be advantageous.
- Proficient in Microsoft Office, particularly Microsoft Excel.
- Good organisational, planning and problem-solving abilities.
- Able to manage operational priorities and work effectively in a fast-paced environment.
- Good interpersonal and communication skills.
- Strong supervisory skills with the ability to guide and motivate warehouse employees.
- Safety-conscious with a strong sense of accountability and operational discipline.
- Forklift licence or experience with material-handling equipment will be advantageous where relevant to the operation.
- Able to support operational requirements during peak periods when necessary.
