Project Coordinator

Responsible for coordinating all event planning on campus and managing work order submittals and requests, runs reports and notifies appropriate departments of pending inspections or scheduled work.

In addition, this position is responsible for the administrative aspects of managing facility operations, maintenance, projects, and support activities of in-house and subcontractor work.

Pay: $38.97/hour

The pay listed is the salary range for this position. Any specific offer will vary based on the successful applicant’s education, experience, skills, abilities, geographic location, and alignment with market data.

  • Coordinate and manage campus-wide event planning activities, ensuring all facility, operational, and logistical requirements are identified and executed successfully.
  • Serve as the primary point of contact for event-related facility support requests and coordinate with internal departments and external service providers.
  • Process, track, and monitor facility work orders and service requests through completion.
  • Generate and distribute reports related to facility operations, maintenance activities, inspections, and project status updates.
  • Notify appropriate departments, stakeholders, and vendors of upcoming inspections, scheduled maintenance activities, and required corrective actions.
  • Support the planning, coordination, and administration of facility improvement projects and operational initiatives.
  • Maintain accurate records of project activities, work orders, maintenance schedules, contractor performance, and facility documentation.
  • Coordinate activities among facility management staff, maintenance teams, subcontractors, and business stakeholders to ensure project objectives and service commitments are met.
  • Track project schedules, deliverables, budgets, and milestones, escalating delays or issues as appropriate.
  • Assist with contractor onboarding, scheduling, site access coordination, and documentation management.
  • Review and maintain project-related records, invoices, reports, and compliance documentation.
  • Monitor progress of assigned projects and provide regular updates to leadership and stakeholders.
  • Support preventive maintenance programs through scheduling, reporting, and coordination of required activities.
  • Ensure compliance with company policies, facility procedures, safety requirements, and applicable regulatory standards.
  • Identify opportunities for process improvements and enhanced operational efficiency.
  • Perform additional administrative and operational support duties as assigned.
  • High school diploma or GED required; Associate's or Bachelor's degree in Business Administration, Project Management, Facilities Management, Construction Management, or a related field preferred.
  • Minimum 1 year of experience in project coordination, facilities administration, operations support, maintenance coordination, or a related environment.
  • Experience coordinating multiple projects, work orders, or operational activities simultaneously.
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Experience using computerized maintenance management systems (CMMS), work order management systems, or project tracking software is preferred.
  • Strong organizational, planning, and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to analyze information, generate reports, and maintain accurate records.
  • Strong customer service and relationship management skills.
  • Ability to interact effectively with employees, contractors, vendors, and leadership teams.
  • Ability to work independently and prioritize competing demands in a fast-paced environment.
