Project Coordinator
This is a remote position.
- Support project teams throughout the project lifecycle by maintaining schedules, trackers, logs, and action lists.
- Monitor project activities, milestones, planned start and completion dates, and dependencies.
- Create, maintain, and distribute project documentation, including job packs and work instructions.
- Maintain accurate records of risks, issues, actions, and changes, escalating concerns to the Project Manager.
- Support statutory, permit, and notice activities where required, including Streetworks, NOIs, and traffic management processes.
- Manage PIANOI as-built submissions and related network adjustments where applicable.
- Maintain accurate and auditable project records in line with governance and contractual requirements.
- Update schedules, whereabouts, trackers, and relevant systems to support day-to-day project delivery.
- Coordinate with internal and external stakeholders regarding work planning and scheduling.
- Support project and operational meetings by coordinating inputs, recording actions, and following up on outstanding items.
- Prepare daily, weekly, and monthly reports by collecting and validating project data.
- Maintain accurate project information across internal, client, and partner systems.
- Identify data discrepancies, risks, and emerging issues and escalate them appropriately.
- Coordinate communication, documentation, correspondence, and updates between project stakeholders.
- Build and maintain effective relationships with internal and external stakeholders.
- Perform other reasonable duties as required.
Requirements
- 1–3+ years of experience in project coordination, project administration, operations coordination, or a similar role.
- Experience supporting projects, programmes, or operational teams in a coordination or administrative capacity.
- Understanding of the project lifecycle and basic project management controls.
- Experience maintaining project trackers, schedules, logs, and reports.
- Exposure to governance, compliance, or assurance activities.
- Strong organizational skills with the ability to manage multiple activities and deadlines simultaneously.
- High attention to detail and accuracy.
- Strong written and verbal communication skills.
- Good stakeholder and client engagement skills with a solutions-focused approach.
- Ability to learn and implement new processes and technologies.
- Good knowledge of Microsoft Office, particularly Word, Excel, and PowerPoint.
- Fluent English.
