Timekeeping Administrator
Position Summary
The Timekeeping Administrator is responsible for ensuring accurate and timely employee time entry, validation, and processing within the ABM ePay timekeeping system. This role supports payroll and site operations by entering and reviewing employee hours, resolving timekeeping discrepancies, maintaining required documentation and trackers, coordinating employee onboarding activities, and providing general administrative support.
The Timekeeping Administrator works closely with employees, supervisors, managers, and client representatives to ensure payroll deadlines, onboarding requirements, client access requirements, and other administrative responsibilities are completed accurately and on time.

Key Responsibilities
Timekeeping & Payroll Support
Input employee work hours, overtime, paid time off (PTO), and other applicable pay codes into the ABM ePay timekeeping system.
Review employee time records for accuracy, completeness, and compliance with company policies and established procedures.
Investigate and resolve missing punches, incorrect hours, and other timekeeping discrepancies.
Communicate with supervisors, managers, and employees to obtain missing, corrected, or required timekeeping information.
Ensure all timecards are completed, reviewed, and approved prior to established payroll processing deadlines.
Maintain accurate employee timekeeping records and supporting documentation.
Process time adjustments and corrections as needed.
Monitor attendance records and identify unusual trends, inconsistencies, or potential issues for management review.
Support payroll staff and site management during payroll processing cycles.
Generate, review, and maintain timekeeping reports for management as required.
Ensure timekeeping practices comply with applicable federal, state, and local labor laws, as well as company policies and procedures.
Employee Onboarding & Administrative Support
Coordinate and support the employee onboarding process, ensuring all required documentation and information is accurately completed and submitted within established timelines.
Assist employees with completion of required onboarding documentation, including direct deposit information, Form I-9 documentation, and other applicable employment requirements.
Verify onboarding documentation for completeness and follow up with employees and management regarding missing or incomplete information.
Assist with adding and onboarding employees into applicable timekeeping and administrative systems.
Coordinate client/vendor badge and site access requirements for onsite employees, including preparing and submitting required paperwork and ensuring all necessary employee information is accurately entered.
Track badge and access requests and follow up as necessary to support timely employee site access.
Maintain company SharePoint live trackers, ensuring required information is accurate, current, and completed by established due dates.
Maintain organized and accurate employee, payroll, onboarding, and operational records in accordance with company requirements.
Provide general administrative support to the Site Director, Operations Manager, and other members of the onsite leadership team as needed.
Maintain confidentiality of employee payroll, personnel, and other sensitive business information.
Perform additional duties, responsibilities, and special projects as assigned to support operational requirements and changing business needs.
Qualifications
High school diploma or GED required; Associate's degree preferred.
1–3 years of experience in payroll, timekeeping, data entry, human resources administration, or administrative support preferred.
Experience using electronic timekeeping systems; ABM ePay experience preferred.
Strong data entry skills with excellent accuracy and attention to detail.
Proficiency in Microsoft Office applications, particularly Excel and Outlook.
Experience with Microsoft SharePoint or similar tracking/document management platforms preferred.
Excellent organizational and time-management skills with the ability to manage multiple priorities and deadlines.
Strong verbal and written communication skills.
Ability to handle confidential and sensitive employee information with discretion.
Ability to work effectively in a fast-paced environment while meeting strict payroll and administrative deadlines.
Ability to communicate professionally and effectively with employees, management, clients, and other stakeholders.
Preferred Skills
Knowledge of payroll processes and applicable wage and hour regulations.
Experience supporting employee onboarding and employment documentation.
Experience coordinating employee badging, access credentials, or client/vendor access requirements.
Experience working with large employee populations.

Physical Requirements
Prolonged periods of sitting and working on a computer.
